Client Galleries

We deliver every single client gallery through Pixieset – and have done so since 2016. Using the Ultimate Suite means all our galleries are safely stored in one place, and we’ve never had to worry about losing images. We love how customizable each gallery is. Fonts, colors, layouts – everything can be adjusted to match our branding. One of our favorite features: creating two separate passwords. One for our couple and one for their guests. Clients can simply log in and mark images as private if they don’t want to share certain photos – just one click and it’s done. All images are uploaded in high resolution, while clients can choose whether to download in high-res or web-size. It makes sharing online effortless. And yes – we’ve actually had couples reach out years later because they lost their files. Being able to resend their gallery link instantly? That’s priceless.

Mobile App

Since Pixieset launched their mobile app, we’ve been obsessed. We receive push notifications the moment a contract is signed, a payment is sent, or a session is booked. Having all client details literally in our pocket makes such a difference when we’re on the road. Recently I was at the post office shipping something to the US and suddenly needed information I hadn’t prepared. I opened the app – and everything was there. Saved my day. That’s what I love most about Pixieset: they keep evolving. They’re constantly improving, constantly building features that genuinely make photographers’ lives easier. The mobile app is one of those tools I wouldn’t want to miss anymore.

Booking Zoom Sessions

When they introduced session booking, I couldn’t believe it. We simply set our availability, and clients book their Zoom call directly through a link that’s connected to our pricing overview. No back-and-forth emails. No scheduling chaos. Clients receive all relevant information in one place, click the button, see our availability, and book instantly. You can also use this tool for studio sessions and even collect payments directly – we personally use it mainly for Zoom calls, but the flexibility is incredible. Again: beautifully designed, simple to manage, and incredibly efficient.

CONTRACT TEMPLATES & ONLINE SIGNATURES

When Pixieset launched contracts inside Studio Manager in autumn 2021, it ended the era of chasing signatures.
The templates are beautifully structured and easy to customize.

What we especially love: you can set expiration dates and automatic reminders. Our clients usually have one week to sign. The system reminds them three days before expiration and again on the expiration day. If it’s not signed in time, the contract automatically cancels and releases the date.

It runs quietly in the background – and you barely notice how much work it’s saving you.

Both we and our clients sign digitally, and everyone receives confirmation immediately. We can also mark specific sections if adjustments or add-ons were made – keeping everything transparent and professional.

INVOICES AND PAYMENT OPTIONS

Confession: before Pixieset, invoicing was not our strength. It could take us two or even three months to send an invoice.

Now? Everything runs automatically.

You can split invoices for deposits, create payment timelines, and schedule reminders (3 days before, 7 days before, 7 days after, etc). It honestly feels like having an employee making sure you get paid on time.

We usually set up the contract and invoice together, which takes us about 15–30 minutes depending on the booking. From there, Studio Manager handles the rest.

Payment options are incredibly flexible – Stripe, credit card, bank transfer, even Bitcoin. We’ve set up UK, US, and European accounts, and depending on where the client is based, they only see the relevant payment option.

Smooth, professional, and reliable.

NOTIFICATIONS

Logging in and seeing recent client activity is such a good feeling.

We especially love seeing couples revisit their galleries on their anniversary – downloading photos again years later. It’s those little moments that remind us why we do what we do.

Of course, instant notifications for signed contracts, payments, or session bookings are equally valuable. It keeps everything transparent and in motion.

QUESTIOINNAIRES

Another feature we use constantly.

We send questionnaires to our couples about a month before their wedding. Once set up in Studio Manager, they’re incredibly easy to reuse.

We ask for everything from updated postal addresses to family dynamics, must-have group photos, event addresses, contact numbers – all the details that matter.

After receiving the completed questionnaire, we usually have zero open questions. It improves communication massively and makes wedding days run smoother.
